[fa icon="plus-square"] Can we bring a guest?

Yes, every ZoomInfo President's Club inductee can invite one guest.  Your guest should be a spouse, significant other, sibling, or best friend.  It should be someone that is an important part of your life. 

ZoomInfo policy excludes Former Employees Who Left Under Negative Circumstance as guests. Beyond terminated employees, this could include individuals who resigned under contentious circumstances. Minors are also excluded from being a guest. 

[fa icon="plus-square"] When must we RSVP by?

All qualifiers will be notified through email with a link to register by January 22nd. All registrations must be received by February 10th! Please make sure your registration is on time to secure your spot on the April trip.  

[fa icon="plus-square"] What are my flight details?

All flights for you and your guest must be booked through Navan. Your flight credit is based on your qualifying status in Presidents or Achievers Club. President’s Club Achievers will have a budget of $2,000 per ticket to book the best flight option that works for you, regardless of cabin class. Achievers Club will have a budget of $1,000 per ticket to book the best flight option that works for you, regardless of cabin class. 

Please note: 

- You will be flying to and from Nassau's Lynden Pindling International Airport (NAS).

- For those airlines that do not include a complimentary seat, the cost of purchasing a seat will be part of the $1,000 per person budget.

- ZoomInfo will cover the cost of 1 carry-on or 1 checked bag per person, per flight.  This can be expensed through Expensify after the trip.

- The flight budget is meant to cover the cost of your flight. If you come in under budget, you may not “apply” the funds elsewhere.

- If you choose to not bring a guest, you may not use your guest's budget to increase your own flight budget.

- If you need to change your flight after it’s booked, you will be financially responsible for the costs incurred.

[fa icon="plus-square"] What is needed to travel to the Bahamas?

A valid passport is required for both you and your guest. Each passport MUST be valid for six months from your departure date from the Bahamas (six months from April 6, 2025 is October 6, 2025). Documentation of a return air ticket departing The Bahamas is also required. 

Please note that you are responsible to understand the travel requirements to travel to and from your home country. *This is NOT the responsibility of Executive Group Travel.*

[fa icon="plus-square"] Can I come early or extend my trip?

We have limited amount of pre/post extensions.  Please email info@executivegrouptravel.com to request any extensions at the Grand Hyatt Baha Mar.

Once Executive Group Travel confirms your extension, you have 72 hours to cancel those nights. After 72 hours, any canceled nights will be your financial responsibility.

The per night extension price is $565. This rate includes the nightly room rate of $329++ including a 21% tax, a portage and housekeeping charge, and the Resort/Service Fee. This resort and service fee includes:

• Unlimited Access to Baha Bay Water Park (up to 4 Guests Per Room)
• Use of all non-motorized water sports on beach (snorkel equipment, stand-up paddleboards, single and double kayaks, water hammocks)
• Bocce Ball, Basketball, and Croquet located at the Racquet Club with Pickleball

• Complimentary beach and pool setup and seating with umbrellas
• Complimentary sunscreen at all towel huts
• Wi-Fi in Guest Rooms and Public Areas
• 2 Bottled Waters in-room Daily

[fa icon="plus-square"] How are airport transfers being handled?

Yes, ZoomInfo will be providing airport transfers for all attendees arriving and departing on group dates to and from the Grand Hyatt Baha Mar.

For those arriving and departing outside group dates you will be on your own for airport transfers.  Taxi's are easy and safe to use, the ride to the hotel is only 15-20 minutes, depending on traffic. We recommend having cash for the taxi driver. If you need to use a credit card, please request the Valet Staff to call a cab that accepts credit card payments.

[fa icon="plus-square"] Is this hotel all-inclusive?

The hotel is not all-inclusive.  We will add a resort credit to your room, which will be deducted from your bill at the end of your stay. 

All attendees will be provided $400 per person (for you and up to one guest in your room) to help defray food and beverage costs that are not already covered during group events at Grand Hyatt Baha Mar.

**Reminder breakfast is not included in your stay.   You will need to use resort credit to cover this cost. 

[fa icon="plus-square"] What is Resort Credit and will I be receiving a stipend?

You will NOT be receiving a stipend in your paycheck, rather we will place a credit on your room which will be deducted from your bill at check out.

The Resort Credit can be used at any venue in which you can charge back to your room which included ALL bars and restaurants in the Baha Mar complex. Additional spa experiences booked directly by you with ESPA Spa can also be charged back to the room in which Resort Credit can be applied.

Resort credit can't be used in the Casino or the Retail shopping outlets. 

[fa icon="plus-square"] What is ZoomInfo covering for the Hotel?

ZoomInfo is covering your hotel room 3 nights (4 nights for those coming from EMEA) including taxes and resort fees associated with the room. 

In addition to your hotel room, ZoomInfo will be adding the $400 per person in Resort Credit to your room. 

At the time of check out, if there is an outstanding balance after the Resort Credit is deducted, you will be financially responsible to cover the cost. We ask that you do not submit these expenses for reimbursement.

For your free night at Baha Mar, you will be responsible for making your own dinner reservation. Here is the full restaurant list in the Baha Mar complex. Dining Options 

The sooner you make reservations the better! Reservations can be made clicking one of these two links: Baha Mar Reservations or Grand Hyatt Baha Mar Reservations. Please note that you are able to eat at any restaurant within the Baha Mar properties and charge back to your room at the Grand Hyatt.

Breakfast and lunch do NOT require reservations and are a first come first serve basis.

[fa icon="plus-square"] Can I add Spa Services?

Yes, you are more than welcome to add a spa service during your stay. Please note that if you did not select a Spa Treatment as your one sponsored activity in the registration process, this will be on your own dime. 

A reminder, Resort Credit can be used to help cover the cost of an additional spa treatment.

[fa icon="plus-square"] Where can I find my hotel confirmation?

You will receive a confirmation email from Grand Hyatt Baha Mar that contains your dates of stay and confirmation number will be sent to you within 30 days of the start of the event.

[fa icon="plus-square"] Is the on-site meeting required?

Yes the meeting is required for all ZoomInfo employees who are attending the trip!  Guests may enjoy their morning at leisure.  Please be on time.

[fa icon="plus-square"] What do I need to pack? Can I expense checked luggage?

Resort and sport attire is appropriate during the day. Shoes and cover-ups are required in the casino, lobbies, and indoor public spaces. For sports including tennis and golf, please wear tennis shoes and sport clothing. At the pool, swimsuits, pool attire, and similar apparel are permitted.

Resort Chic/Cocktail Attire is required at the two ZoomInfo dinners during PClub. The Award's Dinner on Saturday, April 5th will be themed as a White Party with cocktail attire.

Given that PClub is only a 3-night (4 for international attendees) sponsored event, we highly recommend carry-on luggage for this trip.  This will help ensure no luggage is lost.  If you check your luggage and the airlines lose it, you are responsible for the costs incurred, including wardrobe, toiletries, etc.

[fa icon="plus-square"] I saw the dress code for the Awards Ceremony was “White Party.” What does that mean?

White party means wear white!

Keep in mind we’ll be in a tropical climate, but we are asking that guests refrain from wearing shorts, flip flops, or “pool attire.” This is still a semi-formal event. Click here to take a look at a mood board for the event.

Please email presidentsclub@zoominfo.com if you have an address change from the address submitted during registration.
[fa icon="plus-square"] Is the cost of transportation to or parking at my home airport reimbursed by ZoomInfo?
Yes, $150 credit per employee can be used toward transportation to and from your home airport or parking at the airport for your travel to PClub. This can be expensed through Expensify after the trip.
[fa icon="plus-square"] If the itinerary changes, how will I stay updated?

There will be two options.

1.  Download the Trip Plans app that Executive Group Travel sends you, it will be hard to survive this trip without it. It provides everything from hotel confirmation # to flight details to airport transfer information!

2.  The website will also have all updates posted before the event and during the event.
